Duties Description STANDARD DUTIES:

The Project Coordinator will provide and manage administrative support to the Division Director and Bureau staff. You will respond to general program inquiries either by phone, email or in person; refer complex or technical questions to appropriate staff. You will maintain Director’s calendar, schedule meetings, training and conference calls; review all correspondence and refer requests for information to appropriate staff and maintain a follow up tracking system; prepare reports using statistical and narrative information, manage incoming telephone calls and visitors; monitor and track status of program activities to ensure deadlines are met; assemble and coordinate background materials for meetings and training; operate office equipment and perform basic service or arrange for service maintenance as needed; maintain and order office supplies. You will handle routine correspondence by preparing replies or researching information for use in responses. You will maintain office records, databases and files using a variety of software such as Microsoft Office Suite. You may supervise and provide direction and guidance to other support staff within the Bureau. You will manage the routing and tracking of incoming, outgoing and inter-office mail, including maintaining an electronic log and reconciling such log monthly and providing a report to the Director. You will make travel arrangements and create travel reports; perform other duties and special projects as assigned.
